4RentersSU Initial Help Now that you have 4RentersSU installed, here are some essential steps to get you started. This document and more help is available on-line at www.BasisUSA.com | 4Renters Help. 1. GETTING STARTED: RUN THE Daily File Refresher (desktop icon). It does the reindexing. REINDEXING SHOULD BE DONE DAILY! (See 8 below) THEN, RUN 4Renters OE (DESKTOP ICON): ANSWER YES TO MOVING DATA! This protects the data you enter! THIS IS A ONE TIME QUESTION. Once in 4Renters OE, click on the File Maintenance menu item in the top toolbar and then click on Reset Availaability of All Items. THIS SHOULD BE DONE DAILY ALSO! 2. In 4Renters OE click on the File Maintenance menu item in the top toolbar just to note what can be edited. 3. Note that Inventory is first. The inventory file will provide data for most of the line items in an order. Keeping track of these items is one of the most important ways that this software will help you. 4. The Edit Inventory Categories selection is just 2 down - the 3rd selection. If you want to continue to use Inventory Categories, you need to use this selection to create a new category before you can add any items into the category. If you don't want to use categories, you can turn them off in Edit Company Control Data (another File Maintenance selection) Uncheck the box at the bottom of the tab Options Page 2. 5. It is important to now that not all line items in an order will be for inventory items. PERHAPS THE HANDIEST ITEM OF ALL IS THE "X" ITEM! Enter an x or X in the item column of the grid and you will be able to create a line item with your own content. 6. The system is setup so orders change roughly as follows: They are created, modified, payments made, items are picked, delivered, returned and after the money has been figured out the order is finaled. The Advancie Invoice button saves the order and shows you the order for printing. The Final Invoice button closes the order and records any remaining Accounts Receivable transactions. 7. Emailing is set up to be done via PDF995, a $9.95 software package easily obtainable on the web at: http://www.pdf995.com A YouTube clip exits: Google search for How to install pdf995 This package creates a printer that will produce a PDF file for emailing. To use the PDF995 printer after it is installed, in 4Renters OE select File Maintenance and then select Edit Workstation Control Data. In the Workstation Controls form in the row labeled 1 enter Print Order as PDF under Know As. You should be able to use the SET button to select PDF995 from your list of printers. This will enter PDF995 under System Name for Printer. After this is done, you will be able to make a PDF of your order by clicking on the radio button (the circle) in the form displayed by selecting Print An Order from the Order Actions menu that is selectable on the top toolbar. 8. REINDEXING AND RESETTING AVAILABILITY SHOULD BE DONE DAILY! TO REINDEX: leave OE and use the Daily File Refresher icon. IN FACT, IF THERE IS EVER A PROBLEM WITH THE PROGRAM, RUNNING THE DAILY FILE REFRESHER MAY VERY WELL FIX IT! Log into 4Renters OE and click on the File Maintenance menu item in the top toolbar and then click on Reset Availability of All Items 9. It has come to my attention that new users are entering their data and using the program before becoming paying customers and that in this time their data may be at risk. Here is help to backing up the right data. Look online for MegaSync. It is tool supplied by a cloud storage co called Mega. The nice thing about MegaSync is that you can have a folder on your computer mirrored in their cloud online. I have a program that compresses just the right files to a different location and then names the compressed result according to the day of the week. So I do not sync the actual data. I do not sync the data folder for 4Renters. But that is where the data to be backed up resides. You can see file locations under the top menu item: Misc. You can copy what you want synced to another location or you can try syncing the actual data folder. If you do, let me know how it works. Good luck.
